How to: Operate the daily schedule

Overview

The Scheduling page is the operational core of Firehouse247. From this page, you can manage daily staffing, view station assignments, track personnel totals, and make real-time updates to shift coverage. It’s where department leaders can ensure coverage, compliance, and continuity for every shift.


Depending on your department configuration, you have have a different view of the schedule from the one provided above, but the general functionality will still remain the same. 


Prerequisites

  • Ensure all station, rank, and apparatus configurations are properly set by the department

  • Member positions and assignments must be up to date


How to Use the Scheduling Page

1. Use the Date Toggle

  • Located at the top of the Scheduling page

  • Allows you to scroll forward or backward one day at a time

  • Click “Today” to jump back to the current date instantly

  • Use the calendar option to choose a date from a month view

2. Monitor Firefighter Totals

  • Displays the number of personnel scheduled for the day

  • Red numbers indicate the department has dropped below minimum staffing for a specific rank or role

  • Use this as a quick-check to ensure adequate coverage across all stations

  • These totals may appear along the top of the schedule view or down the right side depending on your configuration

3. View by Station

  • The page is divided by station so you can see who is scheduled where

  • Members are automatically grouped under their assigned station for the selected day

  • Click the red dividers to expand the stations and again to retract them

  • Use the Collapse button at the top to collapse all stations for better viewing

4. Move Personnel Between Stations

If your department has enabled cross-station assignments:

  • Use the Position dropdown to change where a member is working

  • If an apparatus is reassigned to a new station, it will move with the member

  • This functionality supports day-to-day flexibility for resource balancing

5. Day/Night/24hr Toggle

  • Use the sun/moon/clock icons at the top right to configure the day view, night view and 24hr view

6. View Log

  • Click View Log to show the log for that specific day. This includes:
    • The Overtime Shifts table which highlights all overtime shifts available in a list view
    • The Call Log which shows all members contacted for shifts in a list view for accountability

7. Show Days

  • Use Show Days to display the day staff, which could include administrators, Fire Alarm, Training, and Chiefs.

8. Accountability report

  • Use Accountability to view daily report of the schedule which can be printed out to be used as a runcard.
  • Member positions can also  be configured from this view which will manipulate the daily schedule

9. Use Daily Notes

  • At the base of the schedule page is a box to enter in Daily Notes which will appear on the calendar page for all members, and on the mobile application for members to stay up to date with important department information.

10. View Details

  • Underneath the main schedule table, if there are details either open or filled for any day they will appear in a table to keep on top of extra members who may be working that day in the form of a detail. 



Tips & Best Practices

  • Always check red totals first—these signal under coverage that must be filled

  • When moving members, confirm apparatus follows as needed

  • Use this page in tandem with the Fill Shifts function to quickly resolve shortages

  • Consider color codes or filters to enhance clarity by rank, role, or leave status - this can be setup at request
