How to: Approve shifts

Overview

The Approve Shifts page is used by shift commanders and authorized personnel to manage time off requests submitted by members. Once a request is made, it will appear on this page for review. Approvals or denials trigger automatic notifications to the requesting member.


Prerequisites

  • Must have the Schedule authority

  • Must be designated as a Shift Commander or equivalent role

  • Requests must already be submitted by members via the Request Time Off page


Step-by-Step Instructions

1. Navigate to the Approve Shifts Page

  • From the main menu, go to Approve Shifts

2. Review Pending Requests

  • All recent time off requests will be listed

  • Each entry includes:

    • Member name

    • Requested date

    • Shift type

    • Status

    • Absent reason (if provided)

    • Actions (user submitted comment)

3. Approve or Deny Requests

  • Click Approve to confirm the leave

  • Click Deny if the shift cannot be granted

  • Each action will immediately trigger a system notification to the member

  • If a request is approved on the daily schedule their position will now become open, and this shift will appear on the Fill Shifts page if it takes the daily total below minimum


Notifications

Once a decision is made:

  • The member will receive an automated alert showing approval or denial

  • The request status is updated in their My Shifts page


Tips & Best Practices

  • Review shift minimums and coverage before approving requests

  • If denying, consider reaching out to the member with additional context

  • Use the 200-character reason submitted by the member to understand leave purpose
