How to: Use the Member Log (Accruals)

Overview

The Member Log provides a comprehensive breakdown of an individual member’s work history, PTO accruals, overtime records, and swap activity. It is an essential tool for reviewing member activity, verifying balances, and auditing shift or swap behavior according to department policy.


Prerequisites

  • Admin, Officer, or Scheduler access to the Members page

  • Member profiles must be active with logged work or swap history

  • Swap tracking and PTO accruals must be configured by the department


How to Access the Member Log

1. Go to the Members Page

  • From the main menu, navigate to Members

2. Select a Member

  • Click on the member’s name to highlight their row

  • Click the Member Log button at the top of the page


Understanding the Tabs in the Member Log

?️ 1. Member Log Tab

This tab contains three key tables:

  • Worked Detail History – A log of all past detail assignments the member has worked

  • Summary Table – Displays the member’s current PTO accruals, including vacation, personal, sick time, etc.

  • Overtime Lists Table – Shows a record of all overtime shifts worked by the member

? 2. Swap Details Tab

  • Lists all historic swaps performed with other members

  • Includes date, shift type, and the counterpart member in the swap

  • Useful for verifying mutual swaps and past agreements

⚖️ 3. Swap Balances Tab

  • Displays current swap balance based on department policies

  • Shows how many swaps the member has remaining or has used

  • Helps enforce fairness and monitor swap limits


Tips & Best Practices

  • Use this page to verify a member’s accrual totals before approving time off

  • Review swap balances before approving or denying future swaps

  • Export logs monthly for audit or reporting purposes, if needed

  • Encourage members to check their own logs regularly to stay informed
